American Music Institute (AMI) is seeking a skilled volunteer to help us develop a CRM strategy that will improve how we manage relationships with students, families, donors, sponsors, volunteers, and community partners.

Currently, our contact information and program data are stored across multiple systems, making it difficult to track inquiries, student enrollment, communications, and fundraising activities in one centralized location. As our organization continues to grow, we need guidance in selecting and implementing a CRM that will support our educational programs and long-term organizational goals.

We are looking for a volunteer who can:

- Review our current processes for managing student, family, donor, and program information.
- Assess our existing software and identify opportunities to improve efficiency.
- Recommend a CRM platform that best fits our needs, budget, and future growth.
- Help design the CRM structure, including contact records, custom fields, and data organization.
- Recommend workflows and automations for inquiry follow-up, student enrollment, event registrations, donor communications, and email marketing.
- Develop a data migration plan for transferring existing information into the new CRM.
- Provide best practices for maintaining accurate data and generating meaningful reports.
- Offer implementation recommendations and documentation so our staff can successfully adopt the new system.

This project will help AMI streamline operations, improve communication with families and supporters, strengthen fundraising efforts, and create more efficient processes for managing our music lessons, summer camps, youth orchestra, competitions, scholarships, and community programs.

Our goal is to leave the project with a clear CRM implementation roadmap, recommended workflows, and practical guidance that will support the organization's continued growth and allow our staff to spend more time serving students and families.
At American Music Institute (AMI), our mission is to provide high-quality music education that inspires creativity, builds confidence, and creates lifelong opportunities for students of all ages and backgrounds. Every year, we serve hundreds of students through private lessons, youth orchestra, chamber music, summer camps, competitions, scholarships, and community partnerships throughout the Chicago area.

As our programs continue to grow, so does the need for better systems to support the families and communities we serve. A well-designed CRM will allow us to spend less time managing spreadsheets and manual processes and more time focused on our students and mission. It will help us communicate more effectively with prospective and current families, strengthen relationships with donors and sponsors, improve volunteer engagement, and streamline registration for our educational programs and events.

The volunteer's expertise will have a lasting impact beyond this project. By helping us develop a scalable CRM strategy, they will enable AMI to operate more efficiently, make data-informed decisions, and provide a better experience for every student, parent, donor, and community partner we serve.

Ultimately, this project will help us reach more aspiring musicians, expand access to quality music education, and strengthen the programs that enrich our community. The volunteer's contribution will create a foundation for sustainable growth, allowing AMI to continue transforming lives through music for years to come.

We have identified key staff members who will serve as the primary contacts for the project and will be available for regular meetings, feedback, and decision-making. Our team has already documented many of our current workflows and can provide information about our student enrollment process, family communications, donor management, summer camp registration, youth orchestra, competitions, scholarships, and community partnerships.

We will provide the volunteer with access to the information needed to understand our current systems, including examples of our data structure, communication processes, and reporting needs. We are also prepared to discuss our goals, challenges, and long-term vision so the recommended CRM solution aligns with our organization's growth.

Leadership fully supports this initiative and is committed to implementing the volunteer's recommendations. Following the project, our team will use the CRM implementation roadmap to guide platform selection, data migration, workflow automation, staff training, and ongoing system management. We expect the project's outcomes to improve operational efficiency, strengthen communication with students and families, enhance fundraising efforts, and provide better reporting to support future decision-making.

We value collaboration and will maintain open communication throughout the engagement by responding promptly to questions, providing requested materials, and participating in scheduled meetings. Our goal is to build a productive partnership that results in a practical, sustainable CRM strategy that will benefit AMI for years to come.
